General information on data processing

1. Scope of processing of personal data

EKONID takes the protection of your personal data very seriously. We want you to know in which cases we collect what kind of data and how we use them. 

We generally only process personal data of our users as is necessary to provide a functioning website and our content and services. We only process personal data of our users on the relevant legal basis including the EU General Data Protection Regulation (GDPR). Legal basis can be a contractual obligation, our legitimate interest or consent provided by the individual user. Sometimes prior consent cannot be obtained and thus the processing of personal data is permitted by law.

This privacy policy explains how we collect and process your personal data through your use of this website including any data you may provide through this website when you apply for membership with us, sign up to our newsletter, register for our events, use our enquiry form or decide to contact us by e-mail. 

This website is not intended for minors and we do not knowingly collect data relating to minors. Persons under the age of 18 may not submit any personal data to us without the permission of their parents or legal guardians.

We applied technical and organizational measures to ensure that we, as well as external service providers, follow the data protection regulations. 

This website contains links to websites of other providers. We cannot guarantee that such providers abide by the data protection regulations.

In order to further develop this website and implement new technologies to improve our services, changes to this privacy policy may apply, if necessary. Therefore, we recommend you to regularly check it.

2. Legal basis for processing of personal data

  • The individual has given her/his consent to the processing of her/his data for one or more specific purposes (Article 6 (1) (a) GDPR). 
  • It is necessary for entering into or performing a contract with the individual (Article 6 (1) (b) GDPR). 
  • It is necessary for the purposes of legitimate interests pursued by the controller or a third party, except where these interests are overridden by the interests or the fundamental rights and freedoms of the individual which require protection of personal data (Article 6 (1) (f) GDPR).

3. Data storage and deletion 

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for including for the purposes of satisfying any legal, accounting or reporting requirements. To determine the retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

 

Use of the Website and data processing

1. Scope of processing of personal data 

Each time our website is accessed, our system automatically collects data and information from the system of the accessing computer. Every visit to the Internet Services of EKONID is recorded in a server log file. In this server log file, the following information will be recorded:

  • Browser type and its version
  • User’s operating system
  • User’s internet service provider
  • User’s IP address
  • Date and time of access
  • Websites accessed by the user's system through our website 

The temporary processing of the IP address is necessary in order to deliver the website to the user’s computer. For this purpose the user’s IP address needs to be saved for the duration of the usage. 

The logfiles are saved to ensure the functionality of our website. This data enables us to optimise our website and to ensure the security of our information technology systems. In this context, we will not process personal data for any other purposes. 

2. Legal basis for processing of personal data 

The processing and storage of the data in logfiles is necessary for the operation of the website. Legal basis for the temporary processing is our legitimate interest (GDPR Article 6 (1) (f)).

3. Data storage and deletion 

We will delete your data when the processing of the data is no longer required to fulfil the purposes we collected it for. When we process the data for the provision of our website, your data will be deleted when the website session ends.

When we process data in logfiles, we will generally delete the data shortly after the processing. Extended storage is possible. In this case, the user’s IP address will be deleted or pseudonymised in order to prevent the identification of the user.

 

Use of Cookies and data processing

1. Scope of processing of personal data

We use cookies for the purpose of improving the quality of our website and its contents. We also analyse your usage of our website through cookies so that we can constantly optimise our offering. 

_ga = unique identifier by Google Analytics to identify a user (composed of Client_ID + timestamp) | Default expiration time 2 years
_gat = parameter which prompts Google Analytics to reduce the query rate
_gid = unique identifier by Google Analytics to identify a user (composed of Client_ID + timestamp) | Default expiration time 24 hours. Data of users collected in such a way are pseudonymized by means of technical measures.

If you do not want any tracking, you can disable it under Website analysis with Google Analytics in this data privacy statement.

Additionally, some features of our website cannot be offered without the use of cookies (technically necessary cookies). Therefore, it is necessary that the browser is recognised when moving from one page to another. Enabling these cookies is not strictly necessary for the website to work but it will provide you with a better browsing experience. You can delete or block these cookies, but if you do that some features of this site may not work as intended.

The following files are stored and transmitted in the cookies:                                      
(1) fonts = standard cookie variable used by us to reload the fonts in the browser after a page refresh.
(2) fullcss = standard cookie variable used by us to reload the CSS file in the browser after a page refresh.

Maximum cookie lifetime: 730 days

The data of the users collected in this way is pseudonymised. An identification of the user is not possible. These cookies are not used for any purposes other than those described here.

2. Legal basis for processing of personal data

Legal basis for the processing of personal data with cookies technically necessary is our legitimate interest (Article 6 (1) (f) GDPR). Legal basis for the processing of personal data with cookies for the purposes of analysis is the individual’s consent (Article 6 (1) (a) GDPR).

3. Data storage

Cookies are stored on the user’s computer and are transmitted from there to our website. By changing the settings in your internet browser, you can disable or restrict the transmission of cookies. Already saved cookies can be deleted at any time. This can also be done automatically. If cookies are disabled for our website, you may not be able to complete all the services or functions on offer by our website.

 

Newsletter “Nachrichtenblitz” and data processing

1. Scope of processing of personal data 

On our website, you are able to order our Newsletter “Nachrichtenblitz” via a link to the respective e-mail address of our staff. We will collect and process your personal data provided to us in your e-mail.

2. Legal basis for processing of personal data  

It is in our legitimate interest to process your personal data accordingly (GDPR Article 6 (1) (f)). Your personal data will be exclusively used for your newsletter subscription with us. 

3. Data storage, deletion and individual rights 

We will process your personal data as long as required to fulfil the purposes we collected it for. Your personal data will be deleted in accordance with our data retention rules and/or legal obligations. 

There will be no transfer of your personal data to third parties. We will only use your personal data in order to communicate with you about your enquiry and for the newsletter subscription.

You can unsubscribe from our newsletter at any time by contacting us on newsletter@ekonid.id.

 

Membership, Events and data processing

1. Scope of processing of personal data

On our website you can apply for membership and register for our events by providing personal data in our Enquiry Management System (EMS) form or by e-mail (membership@ekonid.id; event@ekonid.id) to us. 

We will process your personal data according to the reason you have provided the data for. We will generally not transfer personal data to third parties. Apart from that, the provisions of Transfer of personal data to third parties apply.

The processing of personal data is necessary in order to either apply for membership with us or to register for one of our events respectively and for the communication thereon. Without your data we are unable to process your membership or the registration for events. In our EMS, we will collect the following compulsory data from you when your enquiry is sent:

  • Subject of enquiry
  • Message contents
  • Company name
  • Country 
  • Address
  • City
  • Postal Code
  • Business Sector
  • Name of Contact Person
  • Title
  • E-Mail
  • Password
  • Date of registration

2. Legal basis for processing of personal data  

The provision of your personal data is necessary for entering into or performing a contract with us Article 6 (1) (b) GDPR.

EKONID Members:

In order to fulfil our contractual obligations and in accordance with our Articles of Association, personal data are held and processed. We use the data for managing our member database, for our own marketing, for sending our newsletters, for invitations to events and invitations to participate in surveys. On the EKONID website (“Member Directory”), on our EIBN project's website (www.eibn.org) and in the printed EKONID member directory (“Business Partner”) we show the data provided to us by our members. 

Event Attendees: 

Please be advised that photographs will be taken or you might be filmed at the events for use on EKONID’s website, marketing material and in social media such as facebook, twitter, instagram. Pictures including captions with your name and business name will be published in our member magazine “Sorotan”. By entering our events, you consent to EKONID photographing or filming and using your image and likeness.

3. Data storage, deletion and individual rights

We will process your personal data as long as required to fulfil the purposes we collected it for (e.g. duration of your membership or an event). Your personal data will be deleted in accordance with our data retention rules and/or legal obligations.

You can make a request to delete or amend your personal data with us at any time. Apart from that, the rights mentioned under Your rights apply. Please contact us on info@ekonid.id. If we need your personal data for pre-contractual considerations, to fulfil our contractual obligations with you or to adhere to any other obligation, an early deletion is only possible in accordance with our contractual and/or legal obligations.

 

Contact form, contact by e-mail and data processing

1. Scope of processing of personal data

On our website we provide an Enquiry Management System (EMS) form that can be used to get in touch with us electronically for any kind of enquiry. We will collect and process the compulsory data provided to us in this form (see list of data mentioned in “Membership, Events and data processing”) according to the reason you have sent the data for. We will generally not transfer personal data to third parties. 

Further, you can contact us by e-mail (info@ekonid.id). We will collect and process your personal data provided to us in your email. There will be no transfer of your personal data to third parties. We will only use your personal data in order to communicate with you about your enquiry. 

2. Legal basis for processing of personal data

Legal basis for the processing of your personal data provided to us in our EMS form or by e-mail is our legitimate interest (GDPR Article 6 (1) (f)). Should your contact with us through our EMS form or by e-mail result in a contract (e.g. when you order information material), another basis for the processing is the fulfilment of our contractual obligation with you (GDPR Article 6 (1) (b)).

If you order information material, your personal data provided will only be used within EKONID and by the company/ies in charge of the printing and delivery. We do not forward your data to any other third party without your explicit consent.

Transfer of personal data to third parties

1. General information 

Data that have been recorded as a result of a visit to this website, will only be transferred to third parties, if we are obliged or it is necessary to do so by law (e.g. contractual obligations, legal action or prosecution due to attacks on EKONID’s internet infrastructure). 

Data that have been recorded by filling out an event registration form on one of EKONID's websites will only be transferred to third parties, if it is (a.) a joint event of EKONID and a third party and (b.) the participant agrees specifically to the transfer of his/her data to the third party within the registration form (Article 6 (1) (b) GDPR).

We do not generally consider to transfer any of your personal data to any third country or any International Organization.

2. Website provider

In the context of processing personal data, the data is passed on to the provider that operates the website and other providers of technical or other (e.g. external event organizer) support. The data processing is governed by contracts with these service providers. The confidentiality, invioliablity, authenticity and the availability of your data cannot be guaranteed.

3. Website analysis with Google Analytics

This website uses Google Analytics, a web analytics service provided by Google Inc. (1600 Amphitheater Parkway, Mountain View, CA 94043, USA). Google Analytics uses "cookies" which are text files placed on your computer and/or end device to help the website analyze how users use the site. The information generated by the cookies about your use of the website (including your IP address) is generally transmitted to a Google server in the United States and stored there. Under the terms of the agreement, which website operators have entered into with Google, they use the information collected to compile an evaluation of website usage and website activity and to provide services in relation to website usage. 

You may prevent the use and storage of cookies by selecting the appropriate settings in your browser. However, please note that if you do this, you may not be able to use the full functionality of this website.

Your rights

You have the right to be informed, the right of access, the right of rectification, the right to erasure and the right to restrict or object the processing of the personal data that we hold about you within the limits of the current data protection legislation (GDPR Artt. 15 - 21). Please contact us on info@ekonid.id, if you would like a copy of your personal information. You may ask us to correct or remove personal information you think is inaccurate. Please contact us, should you wish to exercise any of these rights. We will check the legal requirements for the exercise of these rights. For appeals pertaining to data privacy laws, you may contact the respective competance supervisory authority.
